Booking a Trip
The term “Trip” stated in this website and booking terms & conditions is a representative form of any product itinerary or activities described on this website to buy or deal with us, including those which might otherwise be recognized as "trekking, walking, hiking, climbing, sightseeing, mountaineering, tours, expeditions", as well as other adventure tour programs.
Confirmation of the email is officially the fastest way and an indication of your trip booking is accepted by the company after your booking proceeds are reviewed. From this date, you are ensured to make your trip definite.
Contract Formation
The contract comes into existence after accepting reservation details from Ace Vision Treks & Tours.
It is a condition in which both parties; the company and clients enter into a contract for its existence.
Before any trip booking confirmation, a contract comes into force, in other words, the company reserves the right to increase and decrease of listed brochure price.
Please be advised, in summary, that the company would be a disclaimer of any warranty, collateral agreement, prior agreement, description of services, or conditions, other than or expressed herein.
Deposit Requirement
A. Nepal trip confirmation payment
To secure your place and to process the confirmation of your booking for the Nepal trip, a non-refundable 20 (%) percent down payment of the total trip cost is required to make in advance, deposit to the company within two weeks from the date of inquiry under the company policy as a per-person basis. It is proof that you are intending to plan a trip. We need generally advance payments on your behalf for fixing prior arrangements for hotel reservations, flight tickets, transportation tickets, permits, TIMS cards, etc.
Your service arrangements are managed as quickly as after preceding the fund. The booking deposit is acceptable both through the bank transfer and by credit card (Visa or Master Card). The company does email for additional information regarding the direct money deposit details while proceeding with the booking.
B. Nepal trip final payment
The final remaining 80 (%) percent balance payments for trekking, tours, climbing, expeditions, or any kind of trip can generally be made upon your arrival in Nepal prior to the initial departure date of any trip. The final trip documentation will be issued after full payment. You can make your payment by bank transfer, travel check, cash, or credit card.
The surcharges of 4% will be added while making your payment (applicable for withdrawal and deposit with the objective of trip extension, final balances as well as miscellaneous purchases). The Surcharge is imposed by the credit card payment service provider (your payment is received through Mega Bank Limited, our credit card payment service provider).
C. Tibet / Bhutan/ India Trips
For Tibet, India, and Bhutan trips, 100% payments are required within a month before starting any trip.

After you arrive in Kathmandu, you can pay through your card in our office.
Note: Please do not transfer your amount to another bank account other than the above-mentioned details. Even in case, you receive an email that requests you to transfer to any other bank account. Please immediately contact us!!
Last-Minute Booking
We, Ace Vision Treks & Tours Pvt. Ltd. accept your last-minute booking only in the case of Nepal Trips. But last-minute booking will not be acceptable for India, Bhutan, and Tibet trips.
Refund/Trip Cancellation
No refund will be made for a 20% deposit amount in case of cancellation of the trip for any other reason but we are flexible to postpone your trip in any later days. Having paid the full amount of any trip, you will get your money back but still, the cancellation charge (20%) is invoiced to you. Written notification of your cancellation should be made to cancel any trip.
Supplement Charge
On your holiday tour/tour packages, rooms are provided on a twin-sharing basis. Thus, a Single room supplement charge will be imposed on a client who does not have another tour participant to share a room with.
Incomplete Tour
No refund will be made to the client who drops out from the journey regardless of whatever portions remain unused in the journey.
Unforeseen Circumstances
If Ace Vision Treks & Tours Company cancels your trip because of unforeseen circumstances like war, natural disasters, conflict, unfavorable climate, etc.. We will be happy to refer you alternative trip of a similar standard. Even if this doesn’t fit your interest, all money paid by you to our company will be refunded. But remember any other expenses incurred by you as a result of this booking are entirely your responsibility.
Client’s Responsible
A tour/trek guide who represents Ace Vision Treks & Tours Company deserves all authority during your tour.
Travel Insurance
You must purchase a comprehensive travel insurance package against medical, natural calamity, helicopter evacuation, personal accident, trip cancellation, etc. This is strongly suggested for all our clients.
Travel Amendment
The trip amendment is an obligatory condition in which the trip itinerary should be changed because of undesirable circumstances that appeared at the time of trip commencement. The factors beyond our control make hindrances to operating trips such as weather conditions, landslides, etc. In such cases; the clients are advised on time by Ace Vision Treks Company.
If clients want to amend the trip because of their reasons, you should send a trip amendment notification to the company in writing. Then the company will make the necessary amendments. The following fee structure will apply for the amendment of the trip. Booking amendment requests made by clients 30 days or more before your original trip Departure- $50.00 per person.
Booking amendment requests made by clients less than 30 days after your original trip departure- charges as per cancellation fees.
For making amendments within 10 days of the trip departure, the cost of the amendment may be higher depending upon the company’s arrangements with other parties such as airlines, hotels, Guest Houses, or operators of various activities.
Please note that the new trip price will apply to the reservation for booking amendment from the time of the original booking to the time of the amendment in the case of any trip price change. Likewise, these fees depend on any charges imposed by the hotels, and other suppliers to the company
Paper & Documents
All necessary documents should be presented in sequence for example to issue visas, necessary permits, etc. We’re not accountable in case of any trip formality not being completed in time before the trip departs in the absence of essential papers and documents.
Flight delay/Cancellation
There is virtually the possibility of flight delay or postponement due to notorious weather in the Himalayan regions which could happen, in particular, In the Everest region (Lukla), Jomsom, Dolpa, Simikot, and Jumla region, etc. In such a case, your itinerary will be modified. However, in case of delayed return flights, the client is responsible for bearing all other additional expenses including food and accommodation.
Also, if you wish to make alternative, arrangements such as a Helicopter flight to avoid flight delays, all additional costs would be your responsibility. Additionally, we do not accept any responsibility for costs incurred as a result of a missed international flight but would assist in making alternative arrangements wherever possible. Please note that while on the field. You may have to make some changes to the itinerary due to unforeseen circumstances.
Social Responsibility
We, Tour Trekking Company in Nepal mission to finance its community enhancement programs through the revenues generated by tourism. The proceeds from any organized tour and trek go 10% directly to uplift the educational status of needy children in rural areas of Nepal through Ace Vision helping foundations.
